Who we are

What we collect and why
We only collect what you choose to send us. Nothing on this site requires you to create an account.

Our lawful basis
Where you have ticked a consent box, we rely on your consent (UK GDPR Article 6(1)(a)). Where you are an existing client, we rely on performance of a contract (Article 6(1)(b)) to deliver the travel services you have asked for. For fraud prevention, site security and keeping our own records straight, we rely on our legitimate interests (Article 6(1)(f)).
You can withdraw consent at any time by emailing us. Withdrawing consent does not affect anything we did lawfully before you withdrew it.
Who we share it with
We do not sell your data and we do not share it for anyone else’s marketing.
- Travel suppliers — airlines, hotels, rail operators, ground transport and charter operators, but only what is needed to make the booking you asked for.
- Service providers — our hosting, email and customer-management providers, who process data on our instructions only.
- Authorities — where the law requires it, such as border or customs requirements for a trip.
Some bookings involve travel outside the UK. Where personal data is transferred abroad, we rely on UK adequacy regulations or standard contractual clauses.
How long we keep it
- Enquiries that do not become bookings — 24 months from your last contact with us, then deleted.
- Client booking records — 7 years, to meet accounting and tax obligations.
- Marketing consent records — for as long as you remain subscribed, plus 24 months as proof of consent.
Your rights
Under UK GDPR you can ask us to: give you a copy of your data; correct it; delete it; restrict or stop how we use it; or send it to another provider. You can also object to processing based on legitimate interests, and opt out of marketing at any time.
Email reservations@chapmancarter.com and we will respond within one month. If you are unhappy with our response you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Security
Enquiries submitted through this site are transmitted over an encrypted connection and stored on access-controlled systems. No system is perfectly secure, but we limit who can see your data to the people who need it to help you.
Cookies
This site sets only the cookies it needs to work, unless you tell us otherwise. See our cookie policy for the detail.
Changes
If we change how we handle personal data we will update this page and change the date below. If the change is significant we will say so prominently.
